Wedding styling in Australia
A wedding stylist looks after how a wedding looks and feels: the concept, colours, furniture, decor, lighting and table settings, and the setting up and packing down of all of it. This page explains how styling differs from planning and venue coordination, how the styling process usually runs, how venue rules shape what is possible, and how to think about a styling budget, with a directory of Australian stylists and styling hire businesses by state and territory.

The guide
What a wedding stylist does, how the styling process usually runs, common style directions, working within venue rules, and a general approach to budgeting.
What a wedding stylist does
A wedding stylist designs the look and feel of the day and then delivers it. WedShed notes there is no standard job description, but stylists typically meet couples to talk through ideas, develop a concept that can cover the ceremony, reception, lighting and furniture, hire items from their own stock or source them from other suppliers, and set up and pack down on the day. The scope can run from linen, signage, candles and cake stands through to lounges, marquees and lighting.
Stylist, planner, coordinator and florist
A wedding planner manages the overall process: choosing and booking suppliers, coordinating them, building the timeline or run sheet, and handling logistics on the day. A venue coordinator generally looks after the venue's own side of the event, such as its rooms, staff and timings. A florist handles flowers and foliage, from bouquets to installations. In practice the roles overlap: many stylists also offer planning or on-the-day coordination, and some include florals, so it is worth asking each business exactly what it covers.
The brief and first consultation
Styling usually starts with a consultation, in person, by video call or at the venue. Couples are typically asked for their date, venue, guest numbers and any inspiration images or a Pinterest board, and the stylist asks how they want the day to feel. Several Australian stylists list a first consultation followed by a written, itemised proposal, which can take a week or two to prepare.
Moodboard and colour palette
The concept is usually presented as a moodboard: inspiration images, a colour palette, and the proposed decor, furniture, props and floral direction, sometimes with visual mock-ups of the setup and costings attached. The palette ties together linen, florals, candles, signage and stationery so the ceremony and reception read as one design.
Venue walk-through
Many stylists include a site visit or venue walk-through to check that the design works in the actual space. It is the time to confirm room layout, access for vans and trolleys, stairs or long carries, power for lighting, rigging points for anything hung from the ceiling, and where items will be stored. Rooms that are hard to reach take longer to set up, which can affect staffing and cost.
Hire items and sourcing
Most stylists hire out items from their own collection, such as arbours, backdrops, plinths, furniture, tableware, linen, candles and lighting, and sub-hire larger pieces like furniture or staging from other suppliers. Some offer DIY or dry hire, where couples collect and set up items themselves, while others hire only on an installed basis. Hiring avoids buying decor that then has to be stored or resold afterwards.
Bump-in and bump-out
Bump-in is the setting up of styling at the venue, and bump-out is packing it down. Stylists commonly confirm delivery schedules and bump-in and bump-out times in the weeks before the wedding. Setup on the day can be a long shift behind the scenes: loading vans, installing, then returning late at night or early the next morning to pack down. Afterwards, hired items are cleaned and checked, and sub-hired items returned.
Common style directions
Styling directions are usually described in broad terms. Examples used by Australian stylists include classic, modern or minimal, bohemian, rustic, vintage, beach or coastal, garden, and luxe or formal. These are starting points rather than fixed themes, and a stylist will usually adapt them to the venue, the season and the couple's own taste.
Working with venue rules
Venues set rules that shape styling. For example, Bellingdale Farm in NSW publishes styling guidelines that set bump-in and removal times, require candles to be in holders, ban fake petals, rice and glitter, limit how florals can be fixed to walls, and need prior approval for hanging installations. Boroondara council in Victoria bans confetti, glitter and naked flames in its gardens, does not allow decorations on rotundas or trees, limits furniture numbers, and requires approval and public liability insurance for third-party suppliers. WedShed notes that couples sometimes book a venue without realising the contract allows only a short bump-in window, so check the venue agreement first.
Budgeting approach
Styling cost is mostly driven by scale and labour: the amount of furniture and decor, lighting, flowers and greenery, travel, team size, how much time is allowed for setup (less time usually means more staff), site visits, supplier management and bump-out. A common suggestion is to choose a few elements that matter most, spend there, and keep the rest simple. Ask for an itemised quote, and check deposit and final-payment timing, since many stylists finalise numbers and invoice a few weeks before the date.

Questions to ask a wedding stylist
Plain questions worth asking before you book a stylist or styling hire business.
- What exactly is included in the quote?
- Ask for an itemised list covering consultations, moodboard, site visit, hire items, florals, delivery, setup, pack-down and staff, so you can compare stylists like for like.
- Which items are hired, and is anything bought for us to keep?
- Most styling is hired and returned. If something is to be purchased or custom-built for you, confirm who owns it afterwards and whether it costs more.
- What happens if an item is damaged, lost or stained?
- Ask for the damage, breakage and cleaning terms in writing, including candle wax and linen stains, and whether a bond or security deposit applies.
- What setup and pack-down times do you need, and do they fit the venue?
- Check the stylist's bump-in and bump-out needs against the times your venue contract allows, including late-night or next-morning pack-down.
- Will you liaise with the venue and other suppliers?
- Ask whether the stylist will confirm access, layout, rigging, power and timings directly with the venue coordinator, florist and caterer.
- Do you hold public liability insurance, and can the venue have a copy?
- Many venues and councils require suppliers to show current public liability cover before they are allowed on site.
- What are the deposit, payment and cancellation terms?
- Confirm how much secures the date, when final numbers and payment are due, and what happens if the date changes.
